Available in two different configurations to meet your needs, the Facilities Management System offers integrated space and time management to track your events and increase the profitability of your facility.
Space management
Map out your events with the graphical layout tools. Rooms, buildings, and outdoor space can be easily tracked and rented. Book your rentals by the hour, day, week or month for a single location or any multiple of locations within your facility. Any number of events can be tracked; the Facilities Management System can even subdivide space for tracking trade show booth rentals.
Time management
If scheduling events is an ongoing activity at your facility, the Facilities Management Deluxe with its integrated Schedule Book will give you added control. More than a simple calendar, the schedule book allows for precise time management of events. From the monthly overview display to the daily current events display, the sophisticated calendar features in the Schedule Book simplify tracking events and scheduling space. You have instant access to available time and space and can easily coordinate assignments between multiple schedulers. From the Schedule Book’s calendar you can book events, put a hold on a block of time or add comments about an event. Extend events over a range of days or a range of locations or quickly duplicate bookings for regular monthly or weekly meetings. Move bookings from one location to another directly from the calendar.

Single data entry
Since space and time management can be integrated with the Facilities Management Deluxe Schedule Book, your master calendar and rental book stay current. Enter an event and all charges for services and equipment at the same time. The Schedule Book’s built-in conflict checker alerts you to double bookings for both locations and rental equipment. Multiple users can work together, letting the system do conflict checking for concurrent bookings.
Build custom contracts
Create your own custom contracts with the Facilities Management System’s Design Screen. Like a small word processor, the Design Screen lets you create multiple contract formats, which can be tied to events. You can even embed scanned images and logos for a distinctive look. The system will automatically merge vendor information into the contract templates. Contracts can be printed individually or in batches.
Automate incidental charges
Miscellaneous charges, such as electricity, furnishings, and janitorial services can be automatically added to an event. The system tracks all equipment rentals and generates work orders for setup.

Access sales information
Sales information is available at a glance with the Facilities Management System. Not only can you create contracts and generate invoices, but also print daily sales reports for reconciliation. Financial reports can be broken down to determine profitability of an event or find profitable locations within the event. The system also tracks vendor sales and generates commission reports. You can define vendor groups unique to your venue, such as vendor/renter categories, event categories, account categories, and credential categories. Use these groups for special reporting and marketing needs.
Provide special services for vendors
The Facilities Management System helps you build a relationship with your vendors to increase repeat bookings. The system generates special notification of upcoming events based on vendor interests, services, products, and previous participation. Use the built in email system to generate fast confirmations of booking requests. |
